Memberships, fees and no-shows on a register

A gym loses renewals because the person at the desk is not sure who expired yesterday. The fee was taken in cash or UPI, the register was updated later, and the trainer’s list is a third copy.

The problem on the ground

The desk has a register. The trainer has a WhatsApp group. The owner has UPI notifications. A member who paid yesterday can still be marked due, and a member who expired last week can still be let in because the face is familiar.

Personal training and the regular plan get mixed. A PT fee is written in the margin. At the end of the month the owner cannot say which trainer’s sessions were paid.

Gym software puts the plan on the member. Payment extends that plan. The door check is the end date, not a guess. The renewal list is who actually ends this week.

What keeps breaking

Expired members still enter because the desk trusts memory more than the register.

Cash and UPI are collected, and the register is updated at night or not at all.

Personal training fees are mixed with the regular membership.

No-shows and freezes are agreed verbally and forgotten at renewal.

A second branch cannot see whether the member already paid at the first one.

How the software closes it

The membership has a start, an end and the amount received.

A payment the same day moves the end date. The due list shrinks because the money is on the member.

Personal training is its own plan, with its own sessions and its own fee.

A freeze is a date range on the plan, so the end date moves by the days you agreed.

A second branch reads the same member. A payment at either desk is the same plan.

How a setup actually runs

Week 1

Plans you sell

Monthly, quarterly and PT. Prices you already charge, including what is due today.

Week 2

Current members

End dates from the register. Doubtful ones are checked at the desk, not guessed.

Week 3

Door and dues

The desk checks the plan. The owner sees who ends this week.

Later

A second branch

Same members, same plans, a desk in the other gym.

Questions this industry asks

Can the trainer see who is allowed in without opening the accounts?

Yes. The check is the plan end date and whether the member is frozen. The trainer does not need the fee history to know if the person should train.

What about a member who pays half now?

Record what was received and what is still due. The plan can stay active only for the period you decide to allow. The balance stays on the member until it is paid.

Do you take a cut of our fees?

No. This is your software. Member fees are yours. You pay for the product, not a percentage of renewals.

How do we start?

A demo with your real plans and ten members, including two who are about to expire. If the due list matches the people you already worry about, the setup is the rest of the register.
