Most schools do not fail because teaching is weak. They lose the day in the office: a fee register that does not match the bank, attendance written after the period, and parents who only hear about a problem when they visit.
A school office usually has three books that do not agree. The class teacher has an attendance sheet. The accountant has a fee register with concessions written in the margin. The principal has a WhatsApp group that is already full of yesterday’s messages. By the time a parent asks why a child was marked absent, or why the receipt shows a different amount, someone has to open all three.
Fee season makes it worse. Transport, exam and tuition sit on different lines. A sibling concession is remembered by one clerk and missed by another. Cheque and UPI payments land in the bank without a receipt number, so the dues list still shows the child as unpaid. The school is not short of money as often as it is short of a single number everyone trusts.
Attendance has the same shape. The sheet is filled at the end of the day, or not filled when a teacher is absent. A student who left after the first period is still present on the monthly report. When the board or a parent asks for a record, the office reconstructs it from memory.
We built the school software around that office, not around a generic dashboard. Fee heads, concessions, receipts and dues sit on the student. Attendance is marked for the period or the day and is visible to the office before the bell. Parents get the absence and the due on the phone, in Hindi or English, instead of hearing it at the gate.
Class, student and concession in the same book as the receipt
Marked from the class, not copied into a register at night
Absence, fee due and circulars without a queue at the gate
Classes, fee heads and users, then a live walkthrough
Fee registers, bank credits and printed receipts disagree, so a parent who has paid still appears as due.
Concessions for siblings, staff wards and scholarship students live in someone’s notebook and are applied differently each term.
Attendance is copied from paper after school, so the office cannot answer a parent the same morning.
Circulars, exam dates and fee reminders go out on WhatsApp groups that new parents never join.
A second branch or a new session means starting the register again, with last year’s dues still open.
Each student has one fee account: heads, concession, receipt and balance. A payment updates the due the moment the receipt is issued.
Concession rules are saved on the student, so the next term does not depend on who is at the counter.
Teachers mark attendance on the phone or the web. The office sees who is absent before the parent calls.
Absence, fee due and circulars go by SMS or the parent app, with the same text the office can look up later.
A new session copies classes and fee structure. Old dues stay on the student instead of disappearing into a closed register.
We sit with the accountant and a class teacher. Fee heads, concessions, classes and the way attendance is actually marked — not the way a brochure describes it.
Students, classes and opening dues move in. The accountant, teacher and principal each get only the screens they use.
The counter issues receipts on the system. One class marks attendance for real, and parents on that class get the message.
Remaining classes switch. We stay on the phone through the first fee rush so the register is not opened again “just for today”.
The register is updated when someone remembers, and the bank is updated when the money arrives. UPI, cash and cheques land in different places, and a concession written in the margin never reaches the total. School software issues the receipt and the due from the same student account, so the balance the parent sees is the balance the accountant sees.
Yes. Attendance is marked on the phone or the web for the class that teacher actually takes. The office sees the absentees the same morning. A paper sheet can still be used on a day the network is down, and those names are entered before the parent messages go out.
The same record that marks the absence or the due can send an SMS or an app notification. The office can open that student’s page and see what was sent, instead of searching a WhatsApp group. Messages can be in Hindi or English.
Opening a new session copies classes and the fee structure. Unpaid amounts stay on the student. The accountant does not start a blank register and hope someone remembers the old balance.
A single school with classes, fee heads and users ready is usually one to four weeks. We confirm the date in writing after we see how many students and branches you have. Call +91 8271932791 and ask for the school walkthrough.
